Responsibilities

The Project Assistant, will be working with our Construction Department.  This person will be responsible for but not limited to:

  1. Carry out administrative duties in a Construction Department by collecting data, sorting, filing, sending out and reconcile project files to the right personnel within the organization, vendors, consultants, and professionals. 
  2. Responsible for ensuring proper approvals are in place for payment, working with different departments to set up new projects, construction contracts are executed and distributed to the correct parties, certificate of insurance are in place and current prior to commencement of work, tracking change orders, and working with AP for invoices to be paid.
  3. Assist in records keeping of all detail information related to project for documentation, clarification and presentation to management
  4. Assist the team members in preparation of project related documents.
  5. The Project Assistant will be reporting directly to the Director of Architecture.

Qualifications

Position Requirements:

  • High School Diploma or Equivalent
  • Excellent writing skills
  • Knowledge of Microsoft Word, Excel, and Outlook, etc.
  • Ability to pay attention to detail
  • Excellent communication skills
  • Ability to solve problems
  • Ability to manage time effectively and work in a team environment
  • Familiarity working with Contracts and Invoice/Payment processes
  • Experience in note taking and preparing meeting minute
